Cancellations, Refunds, Non-Girl Scouts & Financial Assistance

By Troop or Individual:
Prior to the registration deadline, email as soon as possible and include your name, names of all registrants needing to cancel, Troop/Service Unit #, event name and date, and details of cancellation. Please see refund policy below.

Cancellations made after the registration deadline will not receive a refund, unless the cancellation is due to a medical reason. A request for refund with a doctor’s excuse must be received within 2 weeks of cancellation or event date.

We do our best to not cancel events, however sometimes we may need to do so. If extreme weather occurs, a facilitator is ill, or an event does not fill to the minimum number of participants, we may cancel. We will contact you ASAP in the case of a cancellation. Every effort will be made to reschedule the event, but if you are unable to attend an alternate date, a refund will be issued in full. Please see refund policy below.

Refund Policy
Full refunds are given if GSNYPENN cancels a Council-run program or event. Troops, groups or individuals will be notified as soon as possible when a decision is made.

Payments or deposit fees for all Council programs and events are non-refundable, unless Council cancels the event, or the registering person/group cancels PRIOR to the registration deadline.

Any refund or credit requested will be settled on a case by case basis and is subject to a 25% processing fee, deducted from the original payment total.

No refunds or credit will be given for ‘no-shows’ for any reason.

Tag-a-longs & Siblings
Unless otherwise indicated in the event description and registration information, due to space and safety reasons please do not bring siblings or non-Girl Scouts. Bring only those you registered for an event. Do not assume that “there will be room for one more person.” Please refer to Council policies for more information.

Financial Assistance
Financial assistance may be available for girls attending Council-sponsored programs and events. Access the request for financial assistance via the “Forms” page.

Event and Program Etiquette

GSNYPENN offers Council-sponsored programs and events for troops and girls. These events bring together girls from across our 26-county footprint to enjoy an opportunity that they might not be able to create on their own. Please note that each event has a registration deadline and that some events may fill before this date.

  • Have the girls plan. Show them this guide or visit the “Programs & Events” tab on our homepage.
  • Let girls and their families know that individual girls with an adult may attend most all events.
  • Questions about registering should be directed to Customer Care at 1.855.213.8555 or
  • Please register on time and be aware of deadlines. Nothing is sadder than cancelling an event due to low participant numbers and then having people ask if they can still register. Please also understand that sometimes events fill before the deadline. Early registration is always recommended.
  • If you have special needs or specific questions about event programming, contact be aware that programming often isn’t fine-tuned until the registration deadline, when we know how many girls to expect.
  • Bring only those who registered for an event to an event. Some sites are very limited in space. Please don’t assume we can just “add one more.”
  • Be prepared. Be sure to have directions to the site and plan on arriving in time to walk to check-in. Double check that you have what you need for the day (attire, lunch, etc.)
  • Adults: It’s great to meet and network! If you’d like to have conversations, ask the facilitator if it’s OK if you step out of the room, go for a walk, etc. Conversations are distracting at an event, so in most cases the answer will be, “Yes, please!”
  • Whether it is a GSNYPENN staff member, volunteer, or community partner, whomever is facilitating the program loves sharing their skills and experiences with the girls and puts a lot of effort into what they do. Please remind girls that a “thank you” goes a long way and is always appreciated.
